Who this notice covers
This notice covers visitors to the Sortx website, people who contact us, staff at estate agencies that use Front Desk, and people whose enquiries an agency asks Front Desk to handle.
Information we handle
Depending on how you interact with Sortx, this can include your name, work details, contact details, website activity, support messages, call or message content, property enquiry details, qualification answers, appointments and technical records used to keep the service secure.
Why we use it
We use personal data to respond to enquiries, provide and secure Front Desk, qualify and progress property enquiries on an agency’s instructions, arrange appointments, provide support, meet legal duties and understand whether our public website is useful.
Our role
For website, sales and account administration data, Sortx generally decides how the information is used. When Front Desk handles an estate agency’s enquiries, the agency generally decides the purpose and Sortx processes the information on its behalf under our customer agreement.
Legal grounds
We rely on the ground appropriate to the activity, including performing a contract, legitimate interests in operating and improving the service, complying with law, and consent where the law requires it.
Who receives information
We use carefully selected providers for hosting, communications, calendars, payments, security and service operation. We disclose information only where needed to provide the service, follow an agency’s instructions, meet a legal duty or protect people and the service.
Retention and international transfers
We keep information only for as long as needed for the purpose collected, contractual requirements, dispute handling and legal duties. Where a provider handles data outside the UK, we use an appropriate transfer safeguard where required.
Your rights
You may have rights to access, correct, erase, restrict or object to use of your data, and to receive a portable copy. If your request concerns an enquiry handled for an estate agency, contacting that agency first will usually be the quickest route.
